This Privacy Policy describes how NEXUS (“we”, “us”) handles information when you use our websites, dashboards, chat experiences, and related services (collectively, the “Services”). It is meant to be clear and practical; it is not a substitute for legal advice tailored to your organization.
1. Who we are
NEXUS provides AI-assisted lead engagement and scheduling tools for real estate teams. The data controller for a given deployment may be your brokerage or our company, depending on your contract — when in doubt, check your order form or administrator.
2. Information we process
- Account & auth: email, name, role, authentication events, and security logs needed to operate the dashboard.
- Lead & conversation data: messages, phone numbers, scheduling preferences, and metadata your prospects submit through chat or connected channels.
- Technical data: IP address, device/browser type, timestamps, and diagnostic data used to secure and improve the Services.
3. How we use information
We use data to provide, secure, and improve the Services; personalize AI responses within your configured policies; comply with law; and communicate service-related notices. We do not sell personal information.
4. Sharing
We share data with subprocessors that help us host, deliver, and monitor the platform (for example cloud infrastructure and email delivery), under contracts that require appropriate safeguards. We may disclose information if required by law or to protect rights and safety.
5. Retention
We retain information as long as needed to provide the Services and meet legal obligations. Retention for specific record types may be configured by your organization where the product supports it.
6. Security
We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or alteration. No method of transmission over the Internet is 100% secure.
7. Your choices
Depending on jurisdiction, you may have rights to access, correct, delete, or export personal data, and to object to certain processing. To exercise rights, contact us through the contact page or your account administrator.
8. International transfers
If you access the Services from outside the country where our servers are located, your information may be transferred and processed across borders with appropriate safeguards as required by law.
9. Children
The Services are not directed to children under 16, and we do not knowingly collect their personal data.

We may update this policy from time to time. We will post the new version with an updated date and, where appropriate, notify administrators.
